What kind of tasks can a VE handle?
Almost anything that doesn't require your physical presence. Inbox and calendar management, CRM updates, lead follow-up, customer service, content scheduling, research, data entry, Shopify backend, reports, booking, vendor communication, social media management, and more. During your discovery call, we map this out specifically for your business.
How long does it take to get started?
From discovery call to your VE's first day is typically 1–2 weeks. That covers recruiting, vetting, your interview, training, and onboarding setup. We move fast — but we don't cut corners on the process that makes it work.
If Something Goes Wrong
What if the VE isn't the right fit?
Within the first 30 days, we replace them at no cost. After that, if something changes — your business evolves, your role needs shift — we work with you to reassess. We're not in the business of making you stick with a hire that isn't working.
What happens if my VE gets sick, quits, or disappears?
We own that problem — not you. If your VE becomes unavailable for any reason, we step in immediately with coverage and begin sourcing a replacement. You're not managing a freelancer — you're working with a managed service. Continuity is on us.
Contracts & Billing
Is there a long-term contract?
No annual contracts. Month-to-month billing. We believe in earning your continued business every month — not locking you in. That said, most clients stay because it works, not because they have to.
Can I upgrade from part-time to full-time?
Yes. Many clients start part-time to test the model and scale to full-time once they see how much a great VE can take off their plate. Just let us know — we'll handle the transition. Same VE, more hours.
What if I go on vacation or need to pause?
Give us 7 days' notice and we can pause billing during extended breaks. Short vacations are typically covered by your VE working on queued tasks so projects don't stall while you're away.
The Service
What tools does the VE work in?
Whatever you use. We train your VE on your specific stack before Day 1. Common ones include HubSpot, Salesforce, GoHighLevel, ClickUp, Asana, Notion, Shopify, Zendesk, Google Workspace, Slack, and more. If it has a login, your VE can learn it.
How is this different from Upwork or OnlineJobs.ph?
On those platforms, you're the recruiter, interviewer, trainer, onboarder, and manager. We handle all of that. You don't search profiles, screen applications, or train anyone from scratch. We bring you one ready hire — and stay involved after.
Do you work with specific industries?
We specialize in service businesses, agencies, real estate, e-commerce, coaching and consulting, and operations-heavy businesses. If you need consistent help with recurring tasks, we can build the right VE profile for you.
Will there be a language or communication barrier?
No. Every VE we place has strong written and spoken English — they work with US, UK, and Australian clients daily. Most clients say communication with their VE is better than with US-based contractors they've previously hired.
What hours will my VE work? Can they match my timezone?
Yes — your VE works your hours, your timezone. Whether you're EST, CST, MST, or PST, we align their schedule to yours before Day 1. Online when you're online, off when you're off.
Is my business data safe? Will my VE sign an NDA?
Yes. Every VE signs a confidentiality and NDA agreement before accessing any of your systems. We recommend a password manager so credentials are shared securely without exposing raw passwords. Your data, clients, and IP remain entirely yours.
